This policy explains how Vertex Global Pty Ltd (ACN 650 052 887) trading as LuxPass (“LuxPass”, “we”, “us”, “our”) handles your personal information when you use the LuxPass online booking service. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). When you book, the salon you book with also handles your information for its own purposes. We never sell or rent your personal information.

Information we collect

  • Your name and contact details (phone number and email).
  • Your booking and appointment history with the salon.
  • Payment information, processed by our PCI-compliant payment provider and held only in tokenised form — we do not store your full card number.
  • Messages you send to us or the salon.
  • Any health, allergy or sensitivity information you choose to provide for your service. This is sensitive information: we collect it only with your consent and use it only to deliver your service safely.

How we use your information

  • To provide the booking service and fulfil your appointment.
  • To process payments and any cancellation or no-show fees.
  • To send service messages such as confirmations, reminders and review requests.
  • To respond to your enquiries and resolve complaints.
  • To meet our legal, tax and accounting obligations.
  • To send you offers and news where you have consented — you can opt out at any time.

When we disclose your information

We disclose your personal information to the salon you book with, to the payment and technology providers who help us run the service (including our cloud hosting provider), and where required or authorised by law. We require these providers to protect your information and to use it only for the services they provide to us. We do not sell your information.

Where your information is stored

Your information is stored securely in Amazon Web Services data centres located in Australia (Sydney) and is encrypted in transit and at rest.

Accessing and correcting your information

Under the Australian Privacy Principles you can ask us to access or correct the personal information we hold about you. To make a request, contact us at hello@luxpass.com.au. We may ask you to verify your identity first so that your information stays secure.

Marketing and how to opt out

We only send marketing messages where you have consented. Every marketing email includes an unsubscribe link and every marketing SMS explains how to opt out. You can also opt out at any time by emailing hello@luxpass.com.au. Please allow a few days for your request to take effect.

Children

The booking service is intended for adults. We do not knowingly collect personal information from children under 16 without the consent of a parent or guardian; a booking for a minor should be made by a parent or guardian.

How long we keep your information

We keep your personal information only for as long as needed to provide the service and to meet our legal obligations, after which it is deleted or de-identified.
